Workshop Quick Start Guide

From install to your first invoice in 10 minutes. Follow these steps in order and you'll have your workshop fully running on MOTRAXIS.

1 Install & Sign Up

Get the app on your tablet or open the web version. Create your admin account in under 2 minutes.

Step 1

Get the app

Install MOTR: Workshop Management from Google Play on your Android tablet. Or open workshop.motraxis.app in any browser.

Step 2

Create your admin account

Create your workshop account with your phone number and password. Email is optional and is mainly used for invoices and notifications.

Tip: Your first 30 completed jobs or 30 days (whichever comes first) are completely free. No credit card required.

2 Workshop Setup

Tell us about your workshop so invoices, receipts, and your listing look professional from day one.

Step 1

Enter workshop details

After signup, you'll see the Workshop Details screen. Fill in:

  • Workshop name (appears on invoices and your public listing)
  • Phone number with country code
  • Address
  • Country (auto-detected, sets your currency)
Step 2

Capture your location

Tap the GPS button to auto-detect your city and province. This helps vehicle owners find you on the MOTR app.

Step 3

Partner code (optional)

If someone referred you, enter their partner code. You can skip this.

What happens next: You land on the Dashboard. A welcome card walks you through your first 3 actions: add a customer, create a repair job, and review your services catalog.

3 Add Your First Customer

Every repair job needs a customer. Add them once, and their vehicle history builds automatically.

Step 1

Go to Customers

Tap Customers in the left sidebar (or tap "Add a Customer" on the welcome card).

Step 2

Fill in customer details

  • Full name
  • Phone number
  • WhatsApp number (if different — used for sharing invoices)
  • Email and address (optional)
Step 3

Add their vehicle(s)

Each customer can have multiple vehicles. Add make, model, year, registration number, and current mileage. This links to the vehicle's permanent digital history on the platform.

Tip: You can search customers by name, phone, or vehicle registration number. The search is instant even with thousands of records.

4 Create a Repair Job

This is your core workflow. A repair job tracks everything from intake to delivery, including parts, labor, technician, and payment.

Step 1

Start a new job

Go to Repair Jobs in the sidebar and tap the + button. Select a customer and their vehicle.

Step 2

Add items

Three ways to add work:

  • Quick Jobs — Pre-built templates (Oil Change, Brake Pads, AC Repair, etc.) auto-fill items and labor. Use the search bar — it supports fuzzy matching.
  • Services — Pick from your service catalog.
  • Parts — Add from inventory. Quantities auto-deduct from stock.
Step 3

Assign technician & deck

Pick a technician and work bay from the dropdowns. The app remembers the last assigned technician for faster entry next time.

Step 4

Set pricing & payment

Labor rate, discount (fixed or %), and payment method (cash, card, JazzCash, EasyPaisa, bank transfer). Mark as paid when the customer settles.

Step 5

Complete & share

Mark the job as complete. A professional PDF invoice is generated with GST, line items, and your workshop branding. Share it via WhatsApp in one tap. The record is permanently saved to the vehicle's digital history.

Tip: Job status flows from PendingIn ProgressCompleted. You can track all active jobs from the Dashboard at a glance.

5 Manage Inventory

Track every part, set reorder points, and get low-stock alerts before you run out.

Step 1

Add parts

Go to Inventory in the sidebar. Add each part with:

  • Name, part number, SKU
  • Cost price and sale price
  • Current quantity
  • Supplier and stock location
  • Vehicle compatibility (make, model, year range)
Step 2

Search & filter

Search by name, part number, or supplier. Filter by vehicle compatibility (make/model/year). Sort any column ascending or descending.

Step 3

Low-stock alerts

Set a threshold in Settings. Parts below that level show an amber warning badge and trigger a Dashboard banner so you never miss a reorder.

Auto-deduction: When you add parts to a repair job or POS sale, inventory quantities update automatically. No manual adjustment needed.

6 Point of Sale

For counter sales — when a customer walks in to buy parts without a repair job. Quick, visual, and simple.

Step 1

Open POS

Tap Point of Sale in the sidebar. You'll see a split view: parts catalog on the left, cart on the right.

Step 2

Build the cart

Tap any part card to add it to the cart. Use the +/− steppers to adjust quantity. Swipe left on any item to remove it. Stock status is shown on each card (green = in stock, orange = low, red = out).

Step 3

Charge

Tap the green Charge button. Review the confirmation dialog, then finalize. A receipt (POS-NNNN format) is generated instantly.

Tip: Tap the history icon in the cart header to view past POS sales and reprint receipts anytime.

7 Quotations & Invoicing

Send professional quotes before starting work. Convert approved quotes into jobs with one tap.

Incoming requests: Vehicle-owner quotation requests from the MOTR app appear above your saved quotations. You can enter an amount and note, or reject the request, directly from that panel.
Step 1

Create a quotation

Go to Quotations and tap +. Select an existing customer or enter walk-in details (name, phone, vehicle info).

Step 2

Add line items

Add items from three categories:

  • Services — From your service catalog
  • Parts — From inventory with current pricing
  • Others — Custom charges (diagnosis fee, consultation, etc.)
Step 3

Review & send

Preview the quotation, add notes if needed, then share via WhatsApp or generate a PDF.

Invoicing: Every completed repair job automatically generates a GST-inclusive invoice with sequential numbering. You can print it, share via WhatsApp, or export as PDF — all from the job screen.

8 Scheduling

Manage appointments with a calendar view. Vehicle owners can also send appointment requests through the MOTR owner app.

Step 1

View your calendar

Go to Schedule. The left panel shows a monthly calendar with orange dots on days that have appointments. The right panel lists that day's appointments.

Step 2

Add an appointment

Tap + and fill in: customer, vehicle, date, time, duration, services needed, and assigned technician.

Step 3

Manage status

Each appointment can be: Pending (amber), Confirmed (green), Rescheduled (blue), or Cancelled (red). Use the action buttons on each card to update.

Tip: Incoming owner appointment requests show up in the request panel at the top of Schedule. Review them there, then confirm or reject without phone calls.

9 Services & Reminders

Define your service catalog and let the app remind customers when their next service is due.

Step 1

Set up your service catalog

Go to Services in the sidebar. Add each service your workshop offers with a name, description, and default price. These appear when creating repair jobs and quotations.

Step 2

Service reminders

The app automatically tracks when vehicles are due for service based on date and mileage thresholds. Customers with upcoming reminders show an orange bell icon in the customer list.

Automated: Background tasks check for due reminders every 12 hours and send push notifications automatically. Zero manual work from you.

10 Reports & Analytics

See how your workshop is performing at a glance. Revenue, profit margins, top services, and technician productivity.

Revenue & Profit

Total revenue, average job value, profit margin with trend indicators and period comparisons.

Service Analysis

Which services are most popular, highest margin, and most frequently paired together.

Technician Productivity

Jobs completed per technician, efficiency metrics, and workload distribution.

Payment Breakdown

Pie chart of payment methods. See how customers prefer to pay.

Tip: Reports update in real-time from your local data. No internet needed to view your analytics.

11 Settings & Staff

Configure your workshop profile, manage staff accounts, and customize the app to your workflow.

Workshop Profile

Branding & details

Workshop name, phone, address, logo, and business registration. These appear on all invoices, receipts, and your public listing.

Staff & Permissions

Add team members

Create additional user accounts with role-based permissions. Control who can access settings, reports, inventory, jobs, customers, quotations, and scheduling.

Technicians & Decks

Organize your floor

Add technicians with their specializations. Define work bays/decks. When creating repair jobs, you assign both — so you always know who's working on what, and where.

Vehicle Models

Build your database

Add vehicle makes and models with year ranges. This powers inventory compatibility filtering and helps with accurate service records.

Data

Backup & export

Export your data as CSV or PDF anytime. Your data lives on your device first. Cloud backup syncs automatically when online.

Record every job — even small ones

Jobs under the free tier cost you nothing. But every recorded job builds the vehicle's history, builds your reputation, and brings that customer back via service reminders.

Share invoices via WhatsApp

One tap to send a professional PDF invoice. Customers remember workshops that look professional. It also feeds the vehicle's permanent digital history — which builds trust for both of you.

Check the Dashboard first thing

It shows pending jobs, low-stock alerts, revenue stats, and today's appointments. One glance tells you what needs attention.

Use Quick Jobs for common work

Oil change, brake pads, AC repair — don't type them out every time. Quick Jobs auto-fill everything. Search with partial words and it finds the right template.

Internet down? Keep working.

Everything runs offline. Create jobs, manage inventory, sell parts, print invoices. When Wi-Fi returns, your data syncs silently. You won't even notice.

Keep your listing updated

Vehicle owners on the MOTR app find workshops by location, services, and ratings. Make sure your profile has the right address, services, and phone number — it's free marketing.
